Enterprise Portal

This is the manual for the Blue Billywig Enterprise Portal. In short the Enterprise Portal can be used to add users to a publication, add existing users to another publication, show analytics, add a new publication or configure an existing publication.

This manual should answer all of the questions. For any remaining questions send an e-mail to support@bluebillywig.com.

Getting started - Logging on

Go to the url provided by mail. This url will look like publisher.bbvms.com, where publisher is the Enterprise Portal publisher.

Note: Do not type "www." in front of the url, this will not lead to the Enterprise Portal.

Fill in the supplied username and password and press login.

 

Note: Pressing the Support in the bottom right of the login box will take you to the Blue Billywig support site.

After successfully logging in the screen will show the image below, or something similar.

On the left of the screen the menu is shown. This menu consists of Publications, Enterprise Users, Add Publication, Analytics, A number of VMS publications and a Log Out button.

On the right the usage statistics overview is shown, which will show the number of clips uploaded on a monthly basis (Media Created) as well as the total number of clips on disk (Media Stored).

Below the Media Created graph is the Publications and Sharing tab. This is used to share media clips between publications.

3.1 Publications and Sharing

Sharing clips is used to upload a clip once and reuse the clip in more than one publication.

To add a publication to share with press the Share with: checkbox, which will show a dropdown showing all the publications within this publisher. Select the publication to share with from the checkbox.

Removing a publication to share with is done by pressing the (x) next to the publication, in the Share content with row.

Enterprise users

Users that have rights to the publisher are shown in the table at the top right of the screen after pressing the Enterprise Users button.

Adding/removing users, adding roles to users, resetting password and authorizing users will be explained in the chapters below.

 

4.1 Authorize user

Pressing the Authorize user button at the top right of the screen will show a popup like in the image below.

A search is performed just after the screen will open. To get a smaller list, search for a certain publication or a certain user by typing in the publication or email field and pressing the search button. To add one or more user(s) check the box or boxes of the users to be added. Then press on the Authorize selected user(s) button at the bottom of the popup screen.

 

Note: Users without any roles cannot be added to the publisher.

4.2 Add/Remove roles

Clicking anywhere in the Roles row will reveil the checkboxes of the roles that can be added or removed.

Checking a box will add that role to this user for the publisher instantly. Unchecking a box will remove that role.

 

Note: When the last role has been removed, the user will disappear from this list. A user can be added again by using the Authorize user button. To hide the checkboxes again, press the Done button.

4.3 Reset password

Pressing the reset password button will send a mail to the user with instructions to create a new password.

4.4 Detach user

Pressing the detach button will remove the user from the current publisher. This button will not remove the user from it's own publication.

Start by adding a name in the Publication shorthandle: field finishing by pressing the add publication button. It can take some time for the new publication to show up in the list of publications on the left.

This is only enabled for users that have the right to add publications. To enable a user to add publications please contact sales at sales@bluebillywig.com.

Analytics

Analytics gives a thorough insight of all the statistical information about each clip in all publications within this portal.

6.1 Select a date

Selection by using the date quick selection (preset) tool. This can be used to select today, the last 7 or 30 days or the All time selection. To select current and previous years, hover over Select to see the years. This way it's also possible to select a month from a year.

Selection by using the date selection tool. Pressing the left date will select the from data, while the right date will select the to data. This will change the graph screen and world overview as well, to reflect the selected from and to date.

 

6.2 Select views for one publication

At the top right of the screen is a Publication tab which when clicked will show the publications that can be filtered on.

Adding a line in the graph of a publication can be done by clicking on the button indicated by 1 in the picture below. Pressing that button again will remove the line from the graph. Selecting multiple publications will show multiple lines in the graph.

Checking the checkbox indicated by 2 in the picture above will show the results for that particular publication in the graph as a colored line. Checking this box will filter out all other publications except the publication(s) that is/are checked.

 

Publications

Underneath the Analytics button there is a list of publications that are linked to this publisher. Pressing on any of the publication buttons will open with the overview page for that publication like shown below.

In the top left of this screen there is a list of users showing the most recent added users first. To the right of the users there is publication information, including a logo that's shown when opening a VMS. Replacing a logo can be done on this page by pressing the upload & save new logo button. At the bottom of the screen are the number of clips uploaded on a monthly basis (Media Created) as well as the total number of clips on disk (Media Stored) shown.

 

7.1 Users

Pressing the Users tab will show the users screen like in the image below.

7.1.1 Add user

Pressing the Add User button at the top right of the screen will show a screen similar to the picture below.

Fill in the data for the user, like email, first name, last name. Username will be changed automatically. Select gender and select roles for this user. When the password and confirm password fields are not filled in a mail will be sent to the new user to the provided email address. If no mail should be sent, provide a password for the new user.

 

7.1.2 Authorize user

Pressing the Authorize user button at the top right of the screen will show a popup like in the image below.

A search is performed just after the screen will open. To get a smaller list, search for a certain publication or a certain user by typing in the publication or email field and pressing the search button. To add one or more user(s) check the box or boxes of the users to be added. Then press on the Authorize selected user(s) button at the bottom of the popup screen.

 

Note: Users without any roles cannot be added to the publication.

7.1.3 Add/Remove roles

Checking a box will add that role to this user for the publication instantly. Unchecking a box will remove that role.

 

Note: When the last role has been removed, the user that belongs to another publication will disappear from this list. A user can be added again by using the Authorize user button. To hide the checkboxes again, press the Done button.

7.1.4 Reset password

Pressing the reset password button will send a mail to the user with instructions to create a new password.

7.1.5 Detach user

Pressing the detach button will remove the user from the current publication. This button will not remove the user from it's own publication.

7.2 Encoding

Pressing the Encoding tab will show a screen like in the image below.

This is an overview of all the encoding profiles in use at this moment for this publication. An encoding profile is used to convert a video to different format, so with multiple formats they can be played on multiple devices.

 

7.3 Players

Pressing the Players tab will show a screen like in the image below.

This is an overview of all the players that can be selected in a playout.

 

7.4 Custom fields

Pressing the Custom fields tab will show a screen like in the image below. These fields are used to add extra metadata to a mediaclip for usage in an external system or other specific usages. Most users will not have the need for a custom field, and we strongly advise to contact support@bluebillywig.com to see whether this is the way to solve a problem that might pop up.

Custom fields can be seen in the VMS mediaclip details screen underneath the title, description, etc fields.

 

7.4.1 Label

This is the name of the field, which is shown in the VMS.

7.4.2 Field types

Field types can be selected by clicking on the Type combobox.

7.4.2.1 Text field

Normal text field to input alphanumeric text with spaces, single line, like the title field.

7.4.2.2 Text area

Normal text area to input alphanumeric text with spaces, with multiple lines, like the description field. When the checkbox Enter-separated multivalue textarea is checked this area can be used to create a list of enter separated values, like the tags field.

7.4.2.3 Checkbox

Box to store a true/false value.

7.4.2.4 List

This is a list box from which to select a value. When the Allow multiselect is checked, it is possible to select more than one value from this list.

There are two ways to use this list box, by using predefined values or by adding values to the list in the VMS. Predefined values will need to be inserted like this: label||value so label and value separated by 2 pipe symbols. To use dynamic values check the Extendable list checkbox. Adding dynamic values is done by inserting them in the list box in the VMS.

 

It is not possible to use both, so it's either possible to use predefined values or dynamic values.

7.4.2.5 Relation

Relation is a box to relate a media clip to the current mediaclip. The type options of relation are shown in the image below.

The Allow multiple relations checkbox will allow for multiple related mediaclips.

 

At the moment there's only one content type and that is Media.

The Usetypes will define from which bucket the mediaclips can be selected. That's either the clips or the creatives bucket. Select at least one of the Usetypes to be able to relate a mediaclip.

The Media types will allow the selection of different mediatypes, like video, audio, image, interactive, text and document. Select at least one of the Media types to be able to relate a mediaclip type.

Note:Selecting none of the Usetypes and Media types checkboxes will prevent users from selecting a media clip.

7.4.2.6 Date

This is a date box which will show a calendar to select the date to insert in this field.

7.4.2.7 Color

This is a color picker box to select a certain color.

7.4.3 Priority

This field allows for selection of a mandatory field. Mandatory means that it will definately have to be filled in otherwise the mediaclip cannot be saved.

7.4.4 Advanced mode

Pressing the Advanced mode button will reveal some more configuration options.

7.4.4.1 Name

This is the name of the field type, this is something a user will ordinarily will not change as this is an internal value.

7.4.4.2 Visible

Normally a field is visible in the vms, to make it a hidden field in the vms, set Visible to no.
